New Outlook for Mac

Microsoft has released a new version of the Outlook client for the Mac.

According to Microsoft, the new Outlook for Mac includes:

  • “Better performance and reliability as a result of a new threading model and database improvements.
  • A new modern user interface with improved scrolling and agility when switching between Ribbon tabs.
  • Online archive support for searching Exchange (online or on-premises) archived mail.
  • Master Category List support and enhancements delivering access to category lists (name and color) and sync between Mac, Windows and OWA clients.
  • Office 365 push email support for real-time email delivery.
  • Faster first-run and email download experience with improved Exchange Web Services syncing.”

You can download the new Outlook software yourself by following these steps:

  1. On your Macintosh, log into the Office 365 web client at http://webmail.smccd.edu
  2. Click the gear icon in the upper right corner of the screen.
  3. Select “Office 365 settings” from the pull-down menu.
  4. Scroll down the menu on the left and select “Software”.
  5. Find the section titled “Get Outlook for Mac”  and click the “Install” button.

To avoid usability conflicts, it is recommended that you remove the older 2011 version of Mac Outlook.

Accessing Your SMCCD OneDrive

A.  Using a web browser from anywhere (IE 10 recommended):

  1. Go to our website outlook.office365.com (no www.)
  2. Log in with your @smccd.edu account
  3. Click the grid in the upper left hand corner
  4. Click “OneDrive” from the App list that opens up

B.  Installing OneDrive on your Windows PC with Office 2013

  1. Click the ‘Start’ icon
  2. Click on to All Programs then select Microsoft Office 2013
  3. Click to launch ‘OneDrive for Business’
  4. A OneDrive@SMCCD folder will be added to your favorites in File Explorer.

Back Up Your Files With OneDrive

By default any file you upload to your folder will be private until shared.

A.  Copy your files to OneDrive with a web browser:

  1. Go to our website webmail.smccd.edu (no www.)
  2. Locate the file you wish to upload to OneDrive
  3. Drag the file into your OneDrive library.

B.  Backup your files with the OneDrive folder:

  1. Open your OneDrive folder found in your favorites of File Explorer
  2. Copy the file and paste into the OneDrive folder.

A.  How to save to OneDrive directly from Microsoft Office:

  3. Choose where in your OneDrive that you would like the file to be saved

0365 Junk Email FAQs

1) How to block a sender’s domain
Microsoft has removed the feature to easily block a domain from the junk email menu

2) How do I right click on a spam message on a mac in Outlook

3) My search is not returning messages I know are there

There could be a couple reasons for this:

1)      You can try the advanced find (File -> Search tools -> Advanced find)

2)      Your search index is corrupted (ost file) and you need to have a technician recreate it for you

3)      You search just needs to be reindexed (can take all day to run)

  • Go to Outlook Settings (File | Options)
  • Go to the Search settings
  • Click on Indexing Options
  • Click Advanced
  • Click Rebuild
  • Click OK and then Close to dismiss the dialogs

4) My evites and facebook notifications are being captured by the quarantine filter

We are adding the evites and facebook domains to the white list for Microsoft. If you have a domain you would like us to white list so it no longer appears in quarantine let us know.

5) It’s confusing that the quarantine message says “Report as Not Junk” and when I click on it, it doesn’t automatically release those messages to my inbox.

  • Report as Not Junk  –  Clicking this link sends a copy of the message to Microsoft for analysis. The spam team evaluates and analyzes the message, and, depending on the results of the analysis, adjusts the anti-spam filter rules to allow the message through.  Sometimes you will need to report something as junk multiple times before Microsoft believes you =)
  • Release to Inbox   – Clicking this link sends the message to your inbox where you can view it.

Macintosh Safari and Firefox Email Problems

Some Safari and Firefox Macintosh users of the web interface to email have noticed the following problems:
–  selecting the email search feature causes the screen to freeze.
– upon “Sign out” of email they receive an error message.

The problems have been reported to Microsoft.    We are told to expect a “fix” in the near future.  Until then, it recommended that Mac users try Chrome or install Outlook 2011.

iOS (iPhone and iPad) Office 365 Apps

If you have an iPhone or iPad you can install an app designed specifically for Office 365.  These apps work great with your @smccd.edu email, contacts and calendar and keep messages separate from the mail client that comes with your device.  Make sure you select the version that is designed for “Office 365 for business.”

How do I forward my SMCCD email account to an external email account?

Some employees have had their SMCCD email accounts forwarded to personal accounts.  Prior to migrating to Office 365, ITS would take care redirecting the emails.  Once your email account has been migrated to Office 365, the forwarding feature that ITS set up for you no longer works.  You can maintain forwarding of your emails in  Office 365.

Below are directions for forwarding email in Office 365:

  1. Log into your Office 365 email account using the web (webmail.smccd.edu)
  2. Click ‘Settings’  (the ‘gear’ symbol in the upper right hand corner)
  3. Choose Options/Account
  4. On the right side of the screen, choose ‘Forward your Email’
  5. Under ‘forwarding,’  enter the external email account to which you want your SMCCD emails forwarded.   Click on the box below to keep a copy of forwarded messages in Outlook Web App.
  6. Click ‘start forwarding.’

 

Note: As soon as you forward your email our junk filtering is no longer active on your account.  You will need to handle junk email on your personal account. 

How do I turn off missed phone call notifications?

You can turn off the email notifications of missed phone calls.  You will need to log in to the web interface (webmail.smccd.edu) to make this change.
  1. Click on the ‘gear’ symbol in the upper right-hand corner of your Office 365 screen.
  2. Select Options/Phone.
  3. Scroll down to ‘notifications.’ It will display on the right hand side of your screen.
  4. Uncheck the box and you will no longer received those notifications.

Office 365 Android Settings

Below are the basic steps for configuring an Android device for use with the SMCCD email system.

– Select “Exchange” for account type.

– Server name is “m.outlook.com.”  If this is successful, all remaining configuration settings should be filled in automatically.

Because there are so many flavors of Android devices, your personal device may need more details, some users have been successful using outlook.office365.com as the server.  When asked for a username, use the format as an email address (e.g. user@smccd.edu), leave the domain blank.

Office 365 iOS Settings

If you are having trouble with your iOS (iPhone, iPad) device after the move to Office 365 follow the steps below.

First, remove the existing settings:

  1. Go to settings
  2. Scroll down to the “Mail, contacts, calendars” item and select it
  3. Find the entry for your SMCCD email and select it
  4. Scroll to the bottom of the screen and select Delete Account.  Really.  You will not lose any info!  It is all stored all on the email servers.

 

Now, add back the SMCCD email account. 

  1. Go to settings
  2. Scroll down to the “Mail, contacts, calendars” item and select it
  3. Choose “Add Account” and select Microsoft Exchange
  4. Enter your District email address (e.g. smith@smccd.edu), your email password and a description (e.g. SMCCD)
  5. Tap Next and your device should be able to automatically figure out all the other settings.
    If your iPhone can’t find your settings, use outlook.office365.com for your server name then tap Next

  6. Choose the type of information you want to synchronize between your account and your device, and then touch Save. By default, Mail, Contacts, and Calendar information are synchronized.
