Credit & Refund Policy

Enrollment Fee / Nonresident Tuition Fee

Students who officially withdraw from all courses, or reduce their program prior to the first class meeting or by the course deadline date will receive credit toward future fees for the full amount of all fees paid for those classes. To view the deadline date, check course in WebSMART. For all courses dropped after the deadline, these fees are not refundable unless an action of the College (e.g., class cancellation) prevents a student from attending class. Students who officially withdraw from all courses and request a refund will be subject to a $10 processing fee. An additional $50 processing fee will be retained by the college for non-resident and F-1 Visa international students who request a refund. Exceptions to the refund policy may be authorized by petition to the Extenuating Circumstances Committee in cases of unique and extraordinary circumstances beyond the control of the student.

To be eligible for a credit or refund, a student must officially withdraw from a course within the stated deadline as displayed on the WebSMART Class Schedule Summary for exact refund dates. If registration occurs after the refund date for a class, no refund will be available.

Check the Academic Calendar for each semester's deadlines on a partial class refund.

For summer or short courses, withdrawal must occur within the first 10% of the course (often this the first day).

If a student decides not to attend classes, it is their responsibility to officially withdraw within published deadlines to avoid penalty grades and fee obligations. A withdrawal initiated by a professor may not result in a refund.

Issuance & Balances

Refunds are NOT issued automatically. A student may either choose to maintain a credit balance on their account or arrange a refund. Credit balances remain on student accounts for a maximum of five (5) years. To request a refund, email the college Cashier’s Office. Please include your name, your student identification (GID) number, your current phone number, and address. It is very important that you please make sure to verify that your address is correct on WebSMART.

Student Body Fee

Students will receive a full refund upon request and within the published deadline. For short courses or for late-start courses, the deadline to request a refund is 10% of the period of instruction (often this is the first day). To view the deadline date, check course in WebSMART. Students requesting a refund of the student body fee, please contact the college Center for Student Life & Leadership Development Office.

Student Representation Fee

A student has the right to refuse to pay the student representation fee. A student can request a fee waiver by completing the Student Representation Fee Waiver form and submitting it to the college Cashier's Office. Completed waiver must be received by the last day to drop a semester-length class. To view the deadline date, check course in WebSMART.

Personal Check Refund

Fees paid by personal check will require 30 days for bank clearance before refunds can be processed.

Financial Aid Refund

Students who receive financial aid and withdraw from classes are advised to call the Financial Aid Services Department regarding possible repayment of federal funds if received prior to withdrawal.

Refunds Due to Action of College

Fees will be credited or refunded if an action of the College (e.g. class cancellation) prevents a student from attending.

Variable Unit Courses

No enrollment fee or non-resident tuition refund or credit will be available to students enrolled in variable unit courses who earn fewer units of credit than the number for which they originally registered. Students earning additional units will be charged accordingly.

Health Services Fee

Students will receive a full refund upon request and within the published deadline date, check course in WebSMART. Thereafter, these fees are not refundable or transferable unless an action of the College (e.g., class cancellation) prevents the student from attending.

Parking Fee

Parking permits are non-refundable unless an action of the College (e.g. cancellation of all of the student’s classes) prevents the student from attending. If a parking permit has been issued, it must be returned to the Cashier's Office before a credit or a refund of the Parking Fee will be processed. Lost and stolen parking permits are nonrefundable.
